  • Position: Office Specialist;

  • Work model: on-site (office-based role) - Pipera;

  • Working hours: M - F,  09:00 - 18:00 ;


Role objective: ensuring smooth, well-organised, and welcoming day-to-day operation of the office, including reception duties.

Responsibilities:

  • Front desk and reception services; first point of contact for office visitors;

  • Welcoming and registering guests; cooperation with building security;

  • Managing access control (access cards, entries) and parking;

  • Managing the meeting room booking system;

  • Providing day-to-day administrative support to office teams;

  • Reporting technical issues and coordinating their resolution;

  • Cooperating with external vendors (cleaning, technical services, security, IT, suppliers);

  • Coordinating parcels and courier deliveries;

  • Supporting the organisation of internal meetings and office events;

  • Ensuring office standards, cleanliness, and overall aesthetics;

  • Maintaining basic office documentation (access lists, parking, meeting room bookings).

 

Candidate profile:

  • Previous experience in an office, administrative, or reception role - nice to have;

  • Strong organisational skills and ability to work independently;

  • Ability to enforce rules and agreed standards in a professional manner;

  • Strong communication skills and high level of personal culture;

  • Availability for daily, on-site operational work;

  • Advanced English .
