Office Administrator
The Office Administrator supports the day-to-day administrative, financial, reporting, and office support activities of a company managing two office buildings in Bucharest.
The role includes office administration, document and contract management, reporting and vendor support.
Key Responsibilities
- Coordinating the day-to-day administrative activities of the office;
- Managing and organizing company documents, contracts, correspondence, and archives;
- Managing service providers, office supplies, and office equipment;
- Handling correspondence, emails, and phone calls;
- Organizing meetings, preparing agendas, and drafting meeting minutes when required;
- Maintaining and updating tenant records, lease agreements, and property-related documentation;
- Monitoring service contracts and renewal deadlines;
- Requesting quotations from suppliers and service providers;
- Maintaining administrative documentation and records required for compliance with internal procedures and local requirements;
- Managing company records, permits, and licenses;
- Maintaining the administrative liaison between the Bucharest office and the headquarters in Greece;
- Centralizing information and preparing periodic reports for management;
- Supporting the internal flow of information and communication activities;
- Translating or adapting documents and information when required.
Required Qualifications
Education
- Bachelor's Degree in Business Administration, Economics, Accounting, Real Estate Management, or a related field is preferred.
Experience
- Minimum 3 years of experience in office administration, property administration, executive support, or a similar administrative role;
- Experience in real estate, property management, facilities management, or commercial office environments is considered an advantage;
- Previous exposure to contract administration, vendor coordination, reporting, or financial administration is preferred.

Working schedule: Monday-Friday, 09:00-17:00
